How to avoid delays when taking a taxi to the airport: key tips

To avoid delays when taking a taxi to the airport, the key lies in three decisions: book in advance instead of looking for a taxi at the last minute, work out your pickup time backwards from your flight with a buffer for traffic, and give precise details when booking (exact address, terminal, passengers and luggage). Most scares on the way to Barajas are not caused by the journey itself but by minutes lost before it starts.

Why delays happen

Knowing the causes helps you plan ahead:

  • Traffic: the rush hours into and out of Madrid, Friday evenings, the start and end of long weekends and the big holiday getaways.
  • Incidents on the road: an accident, roadworks or a closure on the M-30, the M-40 or the airport access roads.
  • The weather: in rain or fog traffic slows down and demand for taxis shoots up.
  • Big events: trade fairs, concerts or matches that coincide with your departure.
  • Coordination failures: an incomplete address, an entrance that is hard to find or a phone with no signal.

Before booking: choose the right moment

Ordering a taxi at the last minute is the main source of delays, because you depend on there being a free one nearby just when you need it. With a booking, the pickup time is set. You can book days in advance or for the same day; if you have less than 2 hours, it is better to call 911 76 00 81. For early-morning flights or high-demand dates, book as soon as possible. We explain the recommended timescales in how far in advance to book an airport taxi.

How to work out your pickup time

Always work backwards from your flight time:

  1. Time to arrive at the terminal: as a guide, 2 hours before for European flights and 3 for international ones. If you are checking in bags or travelling in high season, more. We go into detail in check-in and boarding: what time to arrive.
  2. Journey time: check a sat nav with traffic for the same time and the same day of the week.
  3. Buffer: add an extra margin, bigger at rush hour, on rainy days or on mass-departure dates.
  4. Getting down to the street: having your suitcases ready by the door also counts.

When booking: the details that avoid waiting

  1. 1

    Full address

Street, number, building entrance and any useful reference: housing estate, gate, name of the hotel or company.

  2. 2

    Terminal or flight number

That way the driver goes straight to the right door, with no hesitation on arrival at Barajas.

  3. 3

    Passengers and luggage

If you do not fit in a standard taxi, the problem shows up at your front door. For five people or more, or lots of luggage, ask for a 7-seater vehicle.

  4. 4

    A working phone

A number with signal and the sound on in case the driver needs to reach you.

You enter all of this on the airport taxi booking page, where you also see the fixed price for your area before confirming. If you are travelling as a group, the 7-seater taxi saves you having to coordinate two cars.

On the day of travel

  • Have everything ready before the time: documents, boarding pass and suitcases closed.
  • Check your flight status: if the time or terminal changes, let us know by phone or WhatsApp so we can adjust the pickup.
  • Confirm your terminal on your boarding pass. Going to the wrong one costs precious time; if in doubt, check which Barajas terminal you need to go to.
  • Be downstairs at the agreed time: a few minutes’ wait at the door add to the journey.

If something still goes wrong

If the pickup time comes and the taxi does not appear, or traffic gets bad halfway, stay calm and act in order: we explain it step by step in what to do if your taxi is late. And if the problem is that you are very short of time from the outset, read our guide to an urgent taxi to the airport.
